Summary Description
The administrator/book-keeper will mainly be responsible for the administration and book-keeping of key projects managed by two partner not-for-profit organisations sharing the same office.

The administrator/book-keeper will be responsible for the daily running of the office including small errands, filing, tidying, and be charged with the book-keeping of FM and REM's accounts in close liaison with the finance manager. This post is designed to provide support to FM and REM's activities and staff.

The successful applicant will be required to start in August 2009.

Bookkeeping, examples of Key Duties: (Duties are illustrative and not inclusive and may vary with individual assignment.)

• Keep records of financial transactions, using Sage and Excel
• Verify, allocate, and post details of transactions to accounts in Sage from documents, such as sales slips, invoices, receipts, check stubs, and computer printouts
• Prepares statements, invoices
• Reconcile and balance accounts
• Compile reports to show statistics, such as cash receipts and expenditures, profit and loss, and other items pertinent to operation of the organisations
• Calculate employee salaries and prepare E14s, P11s, P60s and P45s
• Analyse and reconcile expenditure and revenue account
• Submit reports of financial operations.
• Monitor grant revenues and expenditures, ensuring data is recorded in accounting system
• Assist the Financial manager with the management of accounts and preparation of financial reports and financial analysis.
• Perform other duties of a similar nature or level

• Keeping the office tidy, organising filing, recycling, office cleaner etc.
• Undertake regular purchase of equipment, stationery and organisation of office space on request from staff
• Keep organisation’s websites updated using Dreamweaver and online website tool, ActionApps
• Undertake administrative duties related to communications, invoicing, general queries, office set-up, IT maintenance etc.
• Assist with visa applications, flight bookings
• Assist with office procedures including Health and safety, insurance, employment policies
• Assist with Volunteers’ management
• General administrative support to staff

Qualifications:
A degree or equivalent in accounting or business administration and at least 3 years relevant book-keeping experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed.

Essential requirements:

• Knowledge of generally accepted accounting practices and principles
• Knowledge of computer applications including Word, advanced Excel and Sage an advantage.
• Knowledge of standard office practices and procedures
• Knowledge of Excel and Word
